SUBJECT: IMPORTANT SUBMISSION DATES PRIOR TO MAY 2012 NIH STANDING
DEADLINES
I am writing to strongly encourage the timely receipt of finalized proposals to the Health Sciences Sponsored Project Pre-Award Office (HS SPPO). Increasingly, finalized proposals have been arriving at HS SPPO the day before, or even the day of, required submission to the agency. HS SPPO will continue to do their best to ensure that all proposals are submitted to the agency on time and error-free, however with the NIH’s policy change eliminating the correction window (see http://ocga.ucsd.edu/News.htm#NIHWindowElimination for additional information) they cannot guarantee that any finalized proposal received within 48 hours of the deadline will be successfully submitted.
The following table is being provided so you are aware of key receipt dates for standing deadlines in May:
|
DEADLINES |
MAY 7, 2012 |
MAY 25, 2012 |

May 23, 2012: FINAL application package, including the science, received at HSSPPO no later than 8:00 a.m. |
Note: the described timelines are required for all electronic proposal deadlines.
There is no guarantee that finalized proposals received on the day of the deadline will be successfully submitted by 5:00 p.m. to meet the deadline. This is due to the expected volume of activity in Grants.gov and in HS SPPO. For additional details on proposal timelines, please visit http://som.ucsd.edu/webfm_send/2882.
Finalized proposals that are submitted to Grants.gov after 5:00 p.m. on the deadline day will require a cover letter provided by the PI explaining why the proposal is late. Please see the NIH Policy on Late Submission of Grant Applications to determine if your reason for submitting late falls within the acceptable guidelines for late submission. Lateness in forwarding a completed proposal to HS SPPO is not a valid reason for late submission.
If you need assistance with completing your electronic proposal, please work with your department business office as they have received specific training in electronic submission requirements.
Feel free to contact Maureen O’Connor at 858-534-7221 or moconnor@ucsd.edu with questions or concerns.
